Reminder to NACO participants not to "re-use"
authority records or
LCCNs
This is the perennial reminder to NACO
participants that authority
records should not be "re-used." That is, once an
authority record
for a specific entity is created and an LCCN is
assigned to the
record, the data in that record should NOT be
changed to represent
a DIFFERENT entity. For example, an NAR for
Smith, John should not
be changed to Jones, Mary (unless the person's
name has changed).
Catalogers are reminded that when they discover
that an NAR is a
duplicate they should report it to a liaison in
the Cooperative
Cataloging Team, who will delete the NAR. NACO
catalogers should
not "fix up" the NAR by deleting the $d in the 040
and keying in
all new fixed and variable fields so that the
record "looks" new.
This causes problems for LC, CDS (which now
distributes the daily
NACO contributions), the bibliographic utilities,
and other
libraries' systems. Many integrated library
systems will handle
a "re-used" record in a manner that may initiate
global changes
to bibliographic records, which in this situation
would be
inappropriate.
For these reasons, we ask that NACO libraries
never "re-use"
authority records in this manner.
