The Northwest Digital Archives (NWDA) is an NEH-funded project to develop a regional union database of EAD encoded finding aids from 13 institutions in Idaho, Montana, Oregon, and Washington. Our NEH grant includes funding for EAD encoding of ~12,000 pages (from 7 of the institutions) by a data conversion vendor.
The NWDA has developed Best Practices Guidelines for encoding that will be used by all participating institutions and the data conversion vendor. We are now developing the Request for Proposals (RFP) on which vendors will bid. We would like to see samples of other RFPs developed by repositories or consortia. We also appreciate any advice, guidance, or wisdom from repositories or consortia who have experience with EAD encoding by data conversion vendors (whether or not you issued an RFP).
