Session Proposal: "Related but Separated": Managing and Representing Collections of Separated Materials


We are looking for archives, museums or visual resource collections whose archival holdings have been physically and intellectually separated based on format or material type to participate in a 2014 Society of American Archivists panel discussion. This may include audiovisual materials, museum objects or other artifacts, which because of preservation or institutional reasons were separated from their document counterparts.


We would like to hold a general discussion about the issues involved in the management of and present various solutions to reuniting and/or representing these collections. Examples of solutions include re-processing or virtual reunification through representative cataloging.


Questions to pose to panelists


§  What kind of collections do you have that have been physically and intellectually separated?

§  How do you manage physically and intellectually separated collections? 

§  What steps and solutions have you applied or are planning to apply to reunite collections that originated as a single unit?


Our example: The Byzantine Institute and Dumbarton Oaks Fieldwork Records and Papers


The Image Collections and Fieldwork Archives (ICFA) will present the collection, The Byzantine Institute and Dumbarton Oaks Fieldwork Records and Papers, and our efforts to virtually and intellectually reunite the separated materials of documents and images through re-processing and description in a web-based collection management system. ICFA has undertaken this work as part of an initiative to restore the provenance, or respect des fonds, of and increase accessibility to our historic collections. 


With the goal of becoming the leading image archive for Byzantine studies, ICFA’s predecessors actively separated the visual materials from the documents in each collection. As a result, management, preservation, and access were primarily focused on photographs and other audiovisual materials, such as negatives and slides. This meant that the documents were simply pre-processed and minimally described, and as such were seldom used for research or as historic evidence in relation to the photographs. Therefore, the historical connection between these two types of formats was lost along with a failure to recognize the intrinsic value of the images as archival records — something which ICFA is actively working to rectify with their practice today.


For consideration, please submit the following to ICFA Archivist Rona Razon ([log in to unmask]) and ICFA Metadata and Cataloging Specialist Anne-Marie Viola ([log in to unmask]) by Monday, September 23, 2013:


·       (75 words per speaker) An abstract about your topic

·       (75 words per speaker) Brief statement summarizing the speaker’s qualifications to address this topic

·       CV


Important Note from the SAA Program Committee:

·       Proposals for the 2014 Joint Annual Meeting are due on September 30, 2013. The Program Committee will not be able to consider proposals received after the deadline.

·       No individual may participate as a speaker in more than one session (with the exception of the lightning talk format or other "alternative" format).

·       Archivists and records managers who participate in the program must register and secure institutional or personal funding. Participants who are not archivists or records managers, or who are from outside the United States and Canada, may be eligible for complimentary registration upon request. CoSA, NAGARA, and SAA cannot provide funding for speakers, whether they are international, non-archivists, non–records managers, members, or nonmembers.
